Instructions to fill the form

• Please fill out this form as soon as you can if you have purchased your airline tickets and need someone to pick you up at the Nashville airport.
• Please Note: Make sure that your request is submitted before 2 weeks of departure from India. VIA will not be able to fulfill any requests after this deadline.
• Temporary accommodation: VIA would try its best to arrange a temporary accommodation. Please use the "Other Comments" box to specify if you need one. Temporary accomodation will not exceed more than 7 days from the date of arrival. In case only airport pickup is required, please specify the complete address (including ZIP Code) at which the VIA representative needs to drop you.
• When you board a flight from India for Nashville, your journey has 3 legs:
• From India to some city in the Europe (Leg 1).
• From Europe to Some city in the USA (Leg 2). This city in the USA is your "PORT OF ENTRY". You need to enter this city as your port of entry on the I-94 form and also the VIA's APR form below.
• From Port of entry to Nashville (Leg 3). For this leg of your journey your airline may be different than the airline for the previous two legs. Please enter the appropriate airline from port of entry to Nashville in your APR form below.
• Make sure that you mention the time in CST (US Central Time) when you enter the time of arrival in Nashville in the APR form. You would find the same on your itinerary. Please do not mention the time in Indian Standard Time.
• Please check the completed form before you hit the "Submit" button.
• Please do not resubmit the information unless you have changed your itinerary.
• After you have submitted your APR form it may take upto 3-4 days for your name to appear in the "Request received" section below.

At Nashville Airport? What to do next?

• Proceed to the baggage claim area and claim your baggage.
• Please do not panic if your baggage is not to be found. Just go to the appropriate airline counter for inquiries. Usually the delayed baggage arrives on the next flight and is home delivered, but you need to fill out the relevant forms at the airline counter.
• If you do not see the person assigned for your pickup please wait for about 10-20 minutes near the baggage claim area, as Nashville traffic is very unpredictable and he/she might take a little longer to reach the airport.
• Even after waiting, if the person does not arrive (this usually never happens) then use the airport pay phone to call your airport pickup or the VIA president. Leave a message if they do not pick up their phones.
• If you have requested for a pickup using the APR form, someone will surely pick you up at the airport.
